Admissions Process

The Admissions Process: Step by Step

Each step below is handled by our admissions and clinical team. You will not be passed between departments or asked to repeat yourself.
Step 1: First Contact

Call [phone number] or submit a form through our Contact Us page. A member of our admissions team answers directly — no automated system, no hold queue. Available 24 hours a day.

Step 2: Initial Conversation
A brief, confidential call to understand your situation — what you are dealing with, what you have tried before, and what you are looking for. No clinical assessment yet; this is a human conversation to determine whether our programs are a realistic fit.
Step 3: Insurance Verification
Our team contacts your insurance provider directly and returns a clear summary of your coverage, out-of-pocket estimate, and any pre-authorization requirements. This is handled for you at no cost — visit our Verify Insurance page to submit your information in advance.
Step 4: Clinical Assessment

A licensed clinician conducts a thorough intake assessment — reviewing your diagnosis, treatment history, current symptoms, medications, and goals. This produces a level-of-care recommendation and the first draft of your personalized treatment plan.

Step 5: Admission & First Day
For residential clients: arrival at our Palo Alto facility, orientation, and meeting your assigned clinical team. For Virtual IOP clients: onboarding call, platform setup, and your first scheduled session. Same-day admission is available when clinically appropriate and practically feasible.
Residential Treatment

Who the Admissions Process Is Designed For

Many callers are adults who have been managing a mental health condition with weekly therapy for months or years and have reached the point where that level of support is no longer sufficient. Others are family members calling on behalf of someone they are worried about. Some are clinicians seeking a higher level of care for a current client.

Whoever is calling, the process is the same: an honest conversation, a clinical assessment, and a clear recommendation — whether that recommendation is our Residential Treatment program, our Virtual IOP, or a different level of care elsewhere. We do not admit individuals whose needs our programs cannot genuinely meet, and we will tell you directly if that is the case.

Insurance and Cost

Insurance and Cost

Most commercial insurance plans cover mental health treatment at the residential and intensive outpatient level. The specifics in terms of what percentage is covered, whether pre-authorization is required, what your deductible and out-of-pocket maximum mean for your actual cost, vary by plan and require verification rather than estimation. Our admissions team handles that verification on your behalf as part of Step 3 above.

To get the process started before you call, visit our Verify Insurance page. Submit your insurance information and we will return a specific, accurate breakdown of your benefits, typically within one business day.

What to Have Ready

What to Have Ready When You Call

You do not need anything in hand to make the first call — that conversation requires only your time and a willingness to speak honestly about your situation. For the clinical assessment and insurance verification steps, it helps to have the following available:

  • Your insurance card or plan details (member ID, group number, insurance company name)

  • A brief summary of your current symptoms and how long you have been experiencing them

  • A list of any current medications and prescribing providers

  • Names of previous therapists, psychiatrists, or programs, if applicable

  • Any relevant medical records or prior assessments — helpful but not required to begin

If you do not have all of this, do not let it delay the call. Our team is experienced at working through the assessment process with whatever information is available.
How the Levels of Care Connect

What Comes After Admission

Admission is the beginning of a clinical continuum, not a standalone event. Residential clients move through treatment with a single coordinated team — the same psychiatrist, therapist, and clinical staff from intake through discharge. When treatment concludes, our Aftercare and Discharge Planning process connects each individual to community-based follow-up resources before they leave, so the transition out of structured treatment is as supported as the transition in.

Virtual IOP clients follow the same coordinated model, with scheduled sessions, regular plan reviews, and a discharge plan built around their specific circumstances and Bay Area or California-based support network.

Find a Path Forward at Palo Alto Mental Health

A mental health condition can quietly erode your quality of life for months or years while staying hidden from colleagues and family. If that describes you, your struggle is real and valid, even if no one around you can see it, and you deserve genuine clinical support rather than another season of pushing through. Get the support you deserve. Call Palo Alto Mental Health at (650) 594-6892 or complete our Contact Us form to schedule a free, confidential assessment.

FAQ's

Frequently Asked Questions

What makes Palo Alto Mental Health different from other facilities?

The short answer is individualized treatment backed by clinical rigor. Rather than running every client through the same curriculum, we select from more than two dozen evidence-supported modalities based on your diagnosis, treatment history, and goals — and we revisit those choices at weekly plan reviews. Our Why Us page explains our clinical philosophy, our team’s credentials, and what sets our approach apart in more detail.

Can a family member call on behalf of someone else?

Yes. Family members, partners, and friends call us regularly on behalf of someone they are concerned about. Our team will share general information about our programs and help the caller understand what therapy options exist, while respecting the privacy of the individual they are calling about.

What if my insurance does not cover the full cost?

Our admissions team will walk through the specific numbers with you once verification is complete, including any out-of-pocket costs and what factors affect them. Visit our Verify Insurance page to start that process — understanding the real cost is always the right first step before making any decision.

Do I need a referral from a doctor or therapist to be admitted?

No referral is required. You can contact us directly, and our clinical team conducts the intake assessment in-house. If you are currently working with a provider who has records relevant to your care, we are glad to coordinate with them — but their involvement is not a prerequisite for starting the admissions process. Our Team handles the full clinical intake from first contact onward.
